Position Summary:
We're growing our team! CCOF is seeking a Bilingual Applicant Coordinator to guide and support prospective applicants through CCOF's programs. In this role, you'll engage with prospects in both English and Spanish across multiple channels, including web, email, phone, and trade shows. You'll play a key role in delivering timely, accurate information about CCOF's program offerings, while building strong relationships and ensuring a seamless applicant experience.

This is a full-time, non-exempt position that reports to the Assistant Director of Member Acquisition. This is a United States-based remote position.
We will begin interviewing selected candidates starting the week of September 14.
Essential Responsibilities:
- Provide applicant support, in both English and Spanish, to prospects across multiple channels, including CCOF website inquiries, email, phone requests, WhatsApp, trainings, and follow-up with trade show prospects.
- Record new prospects, track interactions, and manage prospect records in Salesforce.
- Conduct regular outreach events and support team outreach efforts to prospects.
- Assist with data entry, reporting, and cleanup projects in Salesforce.
Specific Duties:
- Promptly respond to prospects' questions related to CCOF's program offerings.
- Follow up with prospects and facilitate the completion of applications.
- Support outreach to prospects, monitor communication plans, send correspondence, and field responses.
- Navigate Salesforce records, including sorting large volumes of records, creating outreach groups, and generating basic prospect reports.
- Coordinate prospect meetings, maintain correspondence records, and track prospect interactions and communications.
- Close sales opportunities on a regular schedule for reporting purposes.
- Identify duplicate Salesforce records and enter data from multiple sources into Salesforce records.
- Support the Applicant Support communication plan by drafting, proofreading, translating, and sending content to prospects in both Spanish and English to drive conversion.
Required Qualifications (Knowledge, Skills, and Abilities):
- 2+ years of experience providing sales support in fields related to organic certification, agriculture, or food production.
- Critical thinking and problem-solving skills. Ability to work within established procedures, use available resources to overcome obstacles, and find solutions. Able to ask for assistance when needed.
- Intermediate Spanish language skills: able to speak fluently, write detailed texts, and handle complex texts such as organic certification program materials, communicating verbally and in writing with clients in the US and México. Perform simple written translations with accuracy and context, ensuring consistency using the CCOF Spanish lexicon.
- Professionalism in customer service: courteous, helpful attitude when interacting with customers, including patience, respect, and attentiveness to customers' needs or concerns.
- Strong verbal and written professional communication skills; ability to communicate with individuals from diverse backgrounds, share context, ask questions, and handle sensitive information with discretion.
- Excellent organizational skills: ability to prioritize competing needs and tasks, reliably complete assignments and multiple projects simultaneously within deadlines.
- Proactive, self-directed, and driven to achieve goals.
- Active contributor to the Acquisitions and Marketing team; demonstrates willingness to collaborate and support team success.
- Adaptable and open to working in an ever-changing environment, embracing evolving systems and processes.
- Ability to collaborate effectively with individuals from different backgrounds, demographics, and communication styles.
- Proficiency in Microsoft Outlook, Teams, Word, Excel, and database programs.
Desired Qualifications:
- Proficiency in Salesforce, including platform features, user management, data import/export, and basic automation.
- Experience using WhatsApp to communicate with outside parties.
- Familiarity with CCOF Certification Programs, including an understanding of CCOF's certification processes and guidelines.
- Experience with regulatory compliance processes.
- Experience working remotely with in-office and remote teams.
Supervisory Responsibilities or Key Relationships:
- This role does not have any supervisory responsibilities.
Physical and Travel Requirements:
- 8-hour regular workday schedule that falls within the 7:00 am – 7:00 pm timeframe in the employee's time zone, ensuring client contact availability during most normal CCOF business hours (8:00 am – 5:00 pm Pacific Time).
- May work occasional evenings and weekends to support trade shows (2 times or fewer annually).
- This position may involve occasional domestic travel for staff events and/or to represent CCOF at industry events in the US and/or Mexico. Travel is generally optional and not expected to exceed approximately 8 days per year.
- Ability to lift 40 lbs. from ground to waist and physically pack boxes and materials for trade shows and events.
- Ability to stand and walk for several hours.
- Prolonged periods sitting or standing at a desk and working on a computer.
