What is the Work Order Coordinator (WOC) Role?
At Big Bear Vacations, the Work Order Coordinator helps keep our maintenance work organized and on track. This role involves reviewing work orders, assigning them to the right technician based on location, skill set, and schedule, and ensuring that each work order has a clear plan. You will review responsibilities, update reports, coordinate with property owners, and manage daily tasks via Microsoft Teams and GPS systems.
Job tasks include:
- Review and assign new pending work orders to the appropriate technician.
- Ensure each work order has a clear plan and assign deadlines.
- Monitor active work orders to confirm they are handled properly and not older than 30 days.
- Review and close PFC work orders, ensuring descriptions and photos are professional before billing or crediting the owner.
Daily responsibilities include:
- Review and assign pending work orders.
- Confirm active work orders are being handled and update status accordingly.
- Prepare daily reports including work order counts, technician schedules, and delayed tasks.
- Update the GPS system weekly with new properties and remove off-program properties; ensure technicians use it daily.
- Maintain regular communication with the maintenance team using Microsoft Teams.
- Review productivity reports from previous days to identify any issues or delays.
- Update work order descriptions for clarity before closing them.
This role is essential for keeping operations running smoothly. You serve as the link between planning, execution, and reporting of all maintenance-related tasks. As the role evolves, additional responsibilities may be added, so flexibility and a willingness to grow are important.
Monthly Salary $600 USD with Profit Share Potential.
